It is 9 pm in Douala. The shop has just closed, and the manager sends you a WhatsApp photo of the cash book. The MTN MoMo total does not match what reached the account. Nobody can say why, and by tomorrow nobody will remember.

The business is not short of software. It is short of a single source of truth: one place where stock, sales, payments and debts all say the same thing at the same time.

That is the problem an ERP solves. Odoo is a realistic option for an SME that needs structure without an unaffordable budget: its apps cover checkout, stock, sales, purchasing and accounting, and its documentation is public. This guide explains how to make an Odoo project work in Cameroon, with a worked Mobile Money reconciliation example.

What an ERP actually changes in your day

An ERP ends the situation where everyone keeps their own version of the numbers. Data is entered once and feeds everything else:

  • A checkout sale decrements stock immediately, with no second entry.
  • A supplier receipt updates the cost price, and therefore the real margin.
  • A Mobile Money payment settles the customer invoice and appears in cash flow.
  • The owner checks the day’s figures from a phone, whether in Bonapriso, Yaoundé or abroad.

Why Odoo rather than custom-built software

Entry cost. Custom development bills you first for what already exists everywhere: users, permissions, printing, exports, basic accounting. Odoo provides that foundation; you pay for adapting it to your business.

Continuity. Software written for you by one person becomes hard to take over if the relationship ends. Odoo is used in many countries: the skills exist.

Room to grow. You start with checkout and stock, then add accounting, purchasing and payroll. Each addition plugs into existing data instead of creating another island.

The trade-off is that Odoo is not turnkey: installed without configuration, it stays a generic tool nobody uses.

Which modules to start with, by type of business

Do not switch everything on. Start with the process that hurts most. Depending on the business:

  • Retail and distribution — point of sale, sales, inventory, purchasing.
  • Beverage depots — inventory with deposits, empties and driver rounds.
  • Pharmacies — batch stock with expiry dates and FEFO picking. See our pharmacy guide.
  • Manufacturing — production, bills of materials and true cost price.
  • Services and B2B — CRM, sales, invoicing, then accounting.

Accounting often belongs in a second phase, once operational data is reliable. An ERP fed with bad data produces bad accounts, only faster.

Ready-made software rather than an ERP project? The Nematek One software covers the same trades: Gestion Commerciale, Dépôt, Pharmacy, Production & Transformation and CRM.

Mobile Money: a worked end-of-day reconciliation

If a good share of your takings arrives through MTN Mobile Money and Orange Money, this is the point that decides whether the project succeeds. An ERP that files those payments with cash sends you back to reconciling by hand.

The starting rule: one journal per payment method. “Cash”, “MTN MoMo”, “Orange Money”, and one journal per bank account. Each sale goes into the journal of the method actually used, with the transaction reference from the confirmation message.

Take a fictional shop in Akwa on a Tuesday evening. You compare the till’s MTN MoMo total with the merchant account statement:

Check FCFA
Sales paid “MTN MoMo” according to the till 186,500
+ Customer debt paid by MoMo, never entered 25,000
− Sale entered as “MoMo”, actually paid in cash 8,000
= Expected on the MTN MoMo statement 203,500
Receipts shown on the statement 203,500

Each difference now has an explanation and a reference. The 25,000 FCFA is matched to the customer’s invoice, which leaves the receivables list. The 8,000 FCFA sale is corrected to cash, which also explains the surplus found when the drawer was counted. Without separate journals, the two errors would have partly cancelled out in a total that looked “about right”, and nobody would have seen them.

In Odoo, the daily routine takes three steps:

  1. Get the merchant account’s transaction history in whatever form your operator provides.
  2. Import it into the matching journal: Odoo accepts, among others, CSV and Excel (XLSX) files.
  3. Reconcile each line with its payment. Whatever remains unreconciled is your list of the day’s differences.

For the full method, see our guide to reconciling MTN MoMo and Orange Money in a shop; for ready-made software, see Nematek One Mobile Money.

The other Cameroonian realities an ERP has to absorb

The SYSCOHADA chart of accounts

Cameroon applies the OHADA accounting framework, the revised SYSCOHADA. Odoo offers fiscal localizations, including one for Cameroon.

Power cuts and unstable networks

A checkout that stops when the network drops is unusable in a shop. The Odoo point of sale has an offline mode: you keep taking payments, and the session can even be closed offline without losing data. Since Odoo 20, other apps keep the records you have already opened available offline, and editable, for a short outage.

The rest is an infrastructure question: a UPS, a second Internet link, a degraded-mode procedure. See our guide to high availability.

Two languages and several sites

Between Douala, Buea and Bamenda your users are francophone and anglophone: Odoo handles a multilingual interface, and training has to follow in both languages. From the second shop onward, plan inter-site transfers, per-site permissions and consolidation during scoping.

Running your business from Paris, Brussels or Montreal

Do you live abroad, or spend part of the year there, while your business runs in Douala or Yaoundé? The real question is: “how do I know what is happening without calling the manager every night?”

Odoo is a web application: with a connection and an account, dashboards open in a browser or in the mobile app, wherever you are. Whatever the time difference, five minutes each evening is enough to review:

  • the day’s sales per location;
  • the till closing and any difference;
  • cancellations and discounts granted;
  • unreconciled Mobile Money payments;
  • stock of the items that move fastest;
  • customer debts that are getting old.

Those figures are only worth something if access rights are set properly: one named account per employee, a manager who can sell but not delete a sale, and an owner who alone keeps administrator rights. The history then shows who did what, and when.

What an Odoo project costs: the four budget blocks

Confusing these four blocks is a common source of unpleasant surprises:

  1. Implementation — scoping, configuration, agreed development, data migration, training. A one-time cost.
  2. Operations — hosting, backups, support, maintenance. A recurring cost.
  3. Third-party services — any licences, domain name, email, SMS, payment gateway, hardware. Billed by third parties.
  4. Improvements — new modules, reports, integrations, further training.

A project quote depends on users, sites, the data to migrate and the integrations chosen. The starting prices of the ready-made Nematek One software are published in FCFA on our pricing page, with operations quoted separately. Be wary of a price quoted before any scoping: the scope will shrink along the way, or the difference will be billed later.

Five mistakes that sink ERP projects

  1. Wanting everything at once. Too wide a scope exhausts the team before go-live.
  2. Ignoring the data. A customer file full of duplicates produces an unusable ERP.
  3. Training one person. If the only trained user leaves, the system leaves with them. Train by role.
  4. Skipping acceptance testing. Testing with real users avoids day-one panic.
  5. Forgetting what comes after. Without support and verified backups, an ERP degrades within months.

How a project with Nematek runs

We move in short, verifiable stages, from discovery to support, described in our method. One principle governs the rest: nothing goes live until the priority workflow has been tested and accepted by the people who will actually use it.

Frequently asked questions

How long does an Odoo deployment take?

It depends on the scope. Multi-site projects, or those with manufacturing or accounting migration, take several months. What stretches timelines most is the availability and quality of the data to migrate. As a benchmark for ready-made software, Nematek One Gestion Commerciale is set up in an indicative three to eight weeks for a standard scope.

Does Odoo work without an Internet connection?

The point of sale does: it keeps taking payments through an outage and can close the session offline without losing data. Since Odoo 20, the other apps keep the records already opened.

Can our existing data be migrated?

Usually yes: customers, suppliers, products, stock and open balances. We provide the import templates, you clean the data with our help, then we import and check. Old history generally stays available in the previous system.

Does Odoo handle SYSCOHADA accounting?

Odoo handles general and analytical accounting, and offers a fiscal localization for Cameroon. The SYSCOHADA chart, journals, taxes and expected statements are configured at the start, then approved by your chartered accountant.

Can I keep an eye on my shop from abroad?

Yes, provided the shop records everything in the ERP. Odoo opens in a browser or in the mobile app: review the day’s sales, the till difference, discounts and unreconciled Mobile Money each evening, and keep administrator rights to yourself.

Do we have to pay for Odoo licences?

That depends on the edition and the number of users. Any licences are billed by Odoo, separately from the integration work, and the quote shows it.

The next step

If you recognised yourself in the opening scene, the useful next move is not choosing software. It is naming the process that costs you the most time, money or visibility.

That is where our free assessment starts. You can also explore our ERP and digital transformation services or browse the Nematek One catalogue.

Update history

  1. Refocused on Odoo ERP projects (modules by trade, how a project runs, budget); the ready-made Nematek One software is presented separately.
  2. Updated for Odoo 20: other apps keep the records already opened online available offline, and editable; documentation links moved to version 20.
  3. Rewritten: an end-of-day MTN MoMo reconciliation with one journal per payment method, a section for owners abroad and verified Odoo links; the starting price now points to the pricing page.
  4. Rewritten as a practical guide: the SYSCOHADA chart of accounts, separate MTN and Orange Money journals, verified sources and an FAQ.

Only a change of substance moves the update date; a re-read with nothing to change moves only the “Checked” date. Something looks out of date? Tell us.
